General Information

PREPAID REGISTRATION:

• Collect your name badge from the pre-paid stations in the registration area by scanning your barcode or typing in your name. You can scan the barcode directly from your phone. 
• Click Personal Area on the Conference App home screen and go to My Name Badge to access your name badge barcode. 
• Your Unique Sign-in Credentials to the Virtual Platform and Mobile App have been sent in an email.

FACULTY REGISTRATION DESK:

• If you are a Faculty Member, you do not need a barcode letter, instead we shall wait for you at the Faculty Desk to provide you with your name badge.

BADGES:

• Upon registration, you will receive your name badge. You are kindly requested to wear your badge during all Conference sessions and events.

E-Tickets:

• Click “My e-Tickets” from the mobile App home screen in order to access your e-Tickets. Present your e-Tickets for scanning to the onsite attendants.  e-Tickets will be used for: courses and workshops.

• Bring your slides to the Speakers’ Ready Room on a USB stick.
• You are asked to only use the Conference computers in the session halls for presentation purposes. The Conference will not be able to support lecture slides presented on personal computers.
• Please note that your slides must be finalized and ready on the day of your session.
• You can upload your presentation slides in the Speakers’ Ready Room as soon as you arrive at the venue, up to 2 hours before the start of the session.
• If you combine video clips with PowerPoint, please make sure to test it in the Speakers’ Ready Room prior to your session, up to 2 hours before the start of the session.
• In the Speakers’ Ready Room, please check with the technician if the sound and picture from the video are transmitted well.

Getting to the venue

We encourage foreign participants to apply for their visas as early as possible, we are recommending to do so at least three to four months before the Conference. Some consulates may have backlogs in scheduling visa interviews.

An official personalized letter of invitation will be provided to registered participants as part of the registration procedure. This invitation is prepared solely for the purpose of visa applications and is not a commitment on the part of the organizers to provide any financial support or confirmation of inclusion in the Scientific Program. Invitation letters can be provided electronically (PDF) or as a hard copy if required. Hard copies will be mailed via regular post free of charge. In case of special delivery (courier) request, the participant will be responsible for all charges.

To benefit from reduced registration rates, you have to be in good standing for paid membership during the Conference.

Participants are advised to wear business casual for all Congress functions and programs.

We want you to enjoy a safe experience while attending any IPVS Conferences. While IPVS continues to recommend people are up to date on COVID-19 vaccination, attendees of IPVC are not required to be vaccinated or verify vaccination status. In addition, masks are optional for IPVC and prior antigen testing is not required. Nevertheless, any participant with symptomatic respiratory illness should refrain from attending the conference in-person and remain isolated until fully recovered.

IPVS continues to encourage attendees to practice safe infection prevention measures to stop the spread of COVID-19 and any other infectious diseases, by maintaining social distancing, testing when appropriate, taking recommended actions when symptomatic or having tested positive. Wearing of a mask is appropriate and a personal choice as some individuals maybe immunocompromised and others maybe asymptomatically infected. We will continue to follow best practices of infection prevention as recommended by the Centers for Disease Control and Prevention and abide by any legal mandates and recommendations from government officials in the location of any SOCIETY meeting. These protocols and information are subject to change.

Please note, even with safeguards and the IPVS’s overarching commitment to attendee wellness, there remains a risk of contracting COVID-19 and other diseases.

All event activities (including educational sessions, meal functions, exhibit hall, etc.) are exclusively reserved for registered attendees. Non-registered guests (including children, family members, colleagues, etc.) are not allowed in any of the event areas. Badges provided at registration are required for entrance into all functions and will be strictly enforced.

Please do not leave bags or suitcases unattended at any time, whether inside or outside the session halls. Hotels strongly recommend that you use their safety deposit boxes for your valuables.
The IPVC 2024 Conference Secretariat and Organizers cannot accept liability for personal accidents or loss of or damage to private property of participants. Participants are advised to take out their own personal travel and health insurance for their trip.

Kenes Group, as the exclusive organizers of IPVC 2024, taking place in Edinburgh, UK on 12-15 November, 2024 we have entrusted TWT srl, Rome, to collect the applications from the Pharmaceutical Companies for the Italian Ministry of Health agency AIFA procedure, in compliance with the instructions given by the Legislative Order 219 of the 24th April 2006 – art. 124.
